Terms and Conditions

(also referred as "Terms") mean these Terms and Conditions that form the entire agreement between You and Cheltenham Festivals regarding the use of the Service. This Terms and Conditions agreement has been created with the help of the Terms and Conditions Template

means any services or content (including data, information, products or services) provided by a third-party that may be displayed, included or made available by the Service

These are the Terms and Conditions governing the use of this Service and the agreement that operates between You and Cheltenham Festivals. These Terms and Conditions set out the rights and obligations of all users regarding the use of the Service.

Your access to and use of the Service is conditioned on Your acceptance of and compliance with these Terms and Conditions. These Terms and Conditions apply to all visitors, users and others who access or use the Service.

By accessing or using the Service You agree to be bound by these Terms and Conditions. If You disagree with any part of these Terms and Conditions then You may not access the Service.

You represent that you are over the age of 16. Cheltenham Festivals does not permit those under 18 to use the Service.

Your access to and use of the Service is also conditioned on Your acceptance of and compliance with the Privacy Policy of Cheltenham Festivals. Our Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your personal information when You use the Application or the Website and tells You about Your privacy rights and how the law protects You. When you purchase a ticket on Cheltenham Festivals’ website you agree to the terms and conditions of sale, set out below:

  1. Once purchased, tickets cannot be refunded or returned, and are valid on the date/time specified only.
  2. Tickets can only be refunded in the case of a cancelled performance. Booking fees are non-refundable
  3. Patrons and Member+ can exchange their tickets for other events for free, other ticketholders can pay £3 to exchange their ticket. All ticketholders will have to pay any difference in cost price for exchanged tickets and will not be refunded any difference.
  4. Once you have printed or received your tickets, please keep them in a safe place as we cannot accept duplicates, copies or other alternative tickets of any kind.
  5. Unlawful resale or attempted unlawful resale of a ticket is grounds for seizure or cancellation of that ticket without refund or other compensation.
  6. All prices are correct at the time of publishing. However, they are subject to change without prior notice.
  7. Sometimes alterations to the advertised details for the event or performance are made at short notice. If this happens there is no obligation to refund your money or exchange your seats.
  8. For safety, children 11 years and under must be accompanied by a ticket holder aged 16 or over. Everyone over the age of 12 months is allocated a seat and requires a ticket, while babies in arms (12 months and under) do not require a ticket unless otherwise stated. Accompanying adults are responsible for supervising the children in their care at all times. One person aged 16 or over can accompany a maximum of six children.
    Cheltenham Festivals maintains a Safeguarding Policy but cannot take responsibility for unsupervised children.
  9. Lost children will be taken to the Festival Box Office. Please ensure that children have your mobile number about their person for us to use to contact you.
  10. Visitors are reminded that for technical or operational reasons, some facilities may be removed or closed, or entertainment cancelled and/or altered at any time. Cheltenham Festivals reserves the right to change the programme of attractions and entertainment if at any time it is deemed necessary or appropriate to do so.
  11. All attractions will remain open, and events will take place whatever the weather unless weather conditions pose a health and safety risk to our visitors and staff. We will make every effort to reschedule events or refund tickets should we close for reasons of health and safety.
  12. In the event of a cancellation or closure, Cheltenham Festivals accepts no responsibility for travel, accommodation and any other associated costs.
  13. Cheltenham Festivals is an inclusive organisation, and we value and respect the diversity of our visitors, communities and our colleagues. Any behaviour towards our colleagues or other visitors which contradicts this will not be tolerated, and visitors will be asked to leave.
  14. Cheltenham Festivals reserves the right, at its absolute discretion, to refuse entry or admission or to remove any visitor.
  15. Cheltenham Festivals accepts no responsibility for any personal property. Lost property may be handed to venue staff and enquiries can be made at the Festival’s Box Office. Items will be kept for a period of 14 days following the last day of the Festival after which time it will be disposed of. Please contact us if you have any queries: [email protected]

Booking Fees

As a registered charity, Cheltenham Festivals charges a booking fee to cover the costs associated with providing our booking facilities. Our charges are in line with the rising costs of this service which includes the cost of staffing, banking, developing, and maintaining our booking software and postage. Booking fees are non-refundable

Our booking fees are as follows:

·        Science for Schools – Home Educator bookings £3

We endeavour to keep our booking fees as low as possible and charge on a per order basis rather than per ticket to ensure this. We also clarify our booking fees before any transaction is completed.

Competitions

We may offer tickets free of charge as part of a competition prize package. Any Festival tickets won as part of a competition run by us or one of our partners exclude tickets for events that are workshops, include books in the ticket price or include any food or beverage in the ticket price unless otherwise stated and are subject to availability at time of claiming the prize. Further exclusions may apply.

Gift Certificate Terms and Conditions

  1. Gift Certificates must be redeemed in full within 12 months of purchase
  2. Cheltenham Festivals cannot refund money or exchange tickets, except in the case of a cancelled performance
  3. Gift Certificates can be used to buy tickets or Membership from Cheltenham Festivals but cannot be redeemed against food and beverage or other goods at the Festivals or with our partners
  4. Certificates cannot be redeemed for cash in part or whole
  5. Outstanding balances are held against your Gift Certificate code to be redeemed against future purchases

General Terms and Conditions

Our Service may contain links to third-party web sites or services that are not owned or controlled by Cheltenham Festivals.

Cheltenham Festivals has no control over, and assumes no responsibility for, the content, privacy policies, or practices of any third party web sites or services. You further acknowledge and agree that Cheltenham Festivals shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused by or in connection with the use of or reliance on any such content, goods or services available on or through any such web sites or services.

We strongly advise You to read the terms and conditions and privacy policies of any third-party web sites or services that You visit.

The text and images contained in this website belong to Cheltenham Festivals and are protected by copyright and other intellectual property rights. You can print or download any part of this text and images for personal use only and any copies must retain the copyright or other intellectual property notices contained in the original material. No part of this site may be reproduced by any process without written permission from Cheltenham Festivals.

Termination

We may terminate or suspend Your access immediately, without prior notice or liability, for any reason whatsoever, including without limitation if You breach these Terms and Conditions.

Upon termination, Your right to use the Service will cease immediately.

Limitation of Liability

To the maximum extent permitted by applicable law, in no event shall Cheltenham Festivals or its suppliers be liable for any special, incidental, indirect, or consequential damages whatsoever (including, but not limited to, damages for loss of profits, loss of data or other information, for business interruption, for personal injury, loss of privacy arising out of or in any way related to the use of or inability to use the Service, third-party software and/or third-party hardware used with the Service, or otherwise in connection with any provision of this Terms), even if Cheltenham Festivals or any supplier has been advised of the possibility of such damages and even if the remedy fails of its essential purpose.

Governing Law

The laws of the Country, excluding its conflicts of law rules, shall govern this Terms and Your use of the Service. Your use of the Application may also be subject to other local, state, national, or international laws.

Disputes Resolution

If You have any concern or dispute about the Service, You agree to first try to resolve the dispute informally by contacting Cheltenham Festivals.

For European Union (EU) Users

If You are a European Union consumer, you will benefit from any mandatory provisions of the law of the country in which you are resident in.

Changes to these Terms and Conditions

We reserve the right, at Our sole discretion, to modify or replace these Terms at any time. If a revision is material We will make reasonable efforts to provide at least 30 days' notice prior to any new terms taking effect. What constitutes a material change will be determined at Our sole discretion.

By continuing to access or use Our Service after those revisions become effective, You agree to be bound by the revised terms. If You do not agree to the new terms, in whole or in part, please stop using the website and the Service.

Patrons Terms and Conditions

Thank you for supporting Cheltenham Festivals as a Patron. Your generosity helps us spark curiosity, celebrate creativity and bring remarkable artists and thinkers to our stage as well as support our year-round outreach projects. These guidelines explain how your Patronage works and help you enjoy your benefits to the fullest. 

🌟 Duration of Patronage 

Your Patronage is valid for 12 months from the date of purchase. Life Patrons continue to enjoy their benefits indefinitely. 

🎟️ Access to Events 

Patronage offers wonderful opportunities and priority access but it does not guarantee tickets for individual events. We encourage early booking during your priority window to make the most of your benefits. 

Booking 

As a Patron you don’t pay booking fees. 

You’ll receive exclusive priority booking access before members and general public and tickets are released in this order: 

  1. Life Patrons
  2. Directors Circle
  3. Gold Patrons
  4. Silver Patrons 

There are multiple ways you can book tickets. Our Box Office team are here to help and you can book by phone by calling 01242 850270 during opening hours (10am–4pm, Tuesday to Friday). Opening times can vary, so please check our website for the latest information, or by emailing the team. Tickets can also be purchased online via our website 24 hours a day and will clearly state which priority period each event is in. 

✨ Special Events 

Some special events may have ticket limits. If so, we’ll let you know ahead of your priority booking period, and limits will reflect your Patronage level. 

💳 Payment for Tickets 

Payment will be taken at the time of booking – both over the phone and online. 

🎫 Unreserved Events 

Life and Directors Circle Patrons may benefit from reserved seats at unreserved events. 

If you are bringing guests to an unreserved event, please let them know that their seats will be reserved under your name and placed at the front of the venue. This helps ensure that no seats remain empty and that everyone enjoys the best possible experience. 

🔁Refunds and Exchanges  

Please check your tickets as soon as they arrive and contact the team as soon as possible if you need any help. 

We can only offer refunds if an event is cancelled. 

Occasionally speakers or event content may change. If the event still goes ahead as planned, we are unable to refund tickets. 

Patrons may exchange tickets for another event: 

  • If the new event is more expensive, you’ll be asked to pay the difference
  • If it’s cheaper, we’re unable to refund the balance 

❤️Donate Tickets 

If you have tickets for an event that you can no longer use, please consider donating them back for resale through the Box Office — a simple way to pass the joy on. 

📣 Be the first to hear 

Make sure your contact preferences are up to date on your account as well as your contact details so you don’t miss Patron news, announcements or invitations to special events. You can update your details by logging in to your account at any time.  

🎁Gift Aid 

If you are a UK taxpayer please consider adding Gift Aid when purchasing your Patronage. It increases the value of your support by 25% at no extra cost to you allowing Cheltenham Festivals to reclaim the basic rate of tax on your gift. 

Data: By becoming a Patron, you agree to have your personal details held by Cheltenham Festivals, and used to keep you informed about our tickets, events, projects and special offers which we think might be of interest to you. If you do not wish to receive information about associated events, workshops and special offers, please email the Patrons team. 

📌 Updates to the Terms 

Cheltenham Festivals may occasionally make changes to these terms, including Patron benefits or prices. If any significant changes occur, we will always notify our Patrons. 

Members Terms and Conditions

Thank you for helping us change lives through culture by becoming a Cheltenham Festivals member and supporting our work to build a world where everyone can explore and create culture.  

🌟 Your Membership 

  • Your Membership is of the Cheltenham Festivals Membership Scheme and can only be purchased by individuals
  • There are two types of paid for memberships which both last for 12 months: 
  • Member + 
  • Member 
  • Whilst we understand situations change, memberships are non-refundable and not transferable 

⭐ Booking  

  • As well as supporting our mission, being a member also entitles you to priority booking for Cheltenham Festivals events and, subject to availability, you can purchase up to six tickets per event. This doesn’t guarantee you tickets so we encourage early booking during your priority window
  • Booking fees are exempt for both Membership types
  • Member+ members are able to freely exchange their tickets for other events if they’re no longer able to attend. Members (and other ticket holders) are able to exchange tickets for a £3 charge* 

* If there is a different price, ticketholders will not be refunded the difference and will have to pay additional cost price. 

💳 Continuous Authority  

  • You can make sure you don’t miss out on Festival tickets by signing up for Continuous Authority which means you don’t have to manually renew your membership. 
  • This lasts for 12 months from the date of sign up and can be cancelled at any time, although we’re not able to refund payments already taken
  • If you cancel your Continuous Authority before payment is taken and have received Membership benefits then we reserve the right to:
  • Release any tickets back to general sale that were purchased during the member's priority period unless the full value of Membership is paid for by card 

🎁 Gift Aid and Membership 

If you are a UK taxpayer please consider signing up for Gift Aid when you purchase a Membership. Gift Aid increases the value of your Membership and any other donations you make to our charity by 25% because Cheltenham Festivals can reclaim the basic rate of tax on your gift – at no extra cost to you 

🌟 18 - 30s Membership 

Who can become an 18-30 member? 

  • This membership is a free scheme that is open to anyone aged between 18-30 years old and automatically expires at midnight on the day before an 18-30 member’s 31st birthday. You may book tickets up to this date, even if the shows take place after your 31st birthday.  

Becoming an 18 – 30 member 

  • If you already have a Cheltenham Festivals account, please email the Box Office with your surname, postcode and date of birth. This information will only be used to update your Membership. You can view our Privacy Policy here.
  • If you don't already have an account, please create one  via the login page and repeat the above steps.
  • You can cancel your membership at any time by emailing the Box Office team.  

🎟 Tickets 

  • 18 - 30 members are entitled to priority booking which opens the day before general on sale and can purchase up to six tickets during this time. One ticket for each event must be used by the 18 – 30 member and there is a £4 booking fee per order.
  • While we understand circumstances change, tickets are non-refundable and must be used by the 18 – 30 member. Tickets can be exchanged for other events for £3 (please see above details).
  • When collecting tickets, members MUST show proof of age in the form of photo ID. The following forms of ID are acceptable: Passport, Driving Licence or PASS card 

Data: By signing up to 18-30, you agree to have your personal details held by Cheltenham Festivals, and used to keep you informed about our tickets, events, projects and special offers which we think might be of interest to you. If you do not wish to receive information about associated events, workshops and special offers, please email the Box Office or select the unsubscribe option displayed in all emails 

📌 Updates to scheme: Cheltenham Festivals may occasionally make changes to these terms, including terminating the scheme, but all members will be informed of any changes.
